How Structify gave a growing B2B office supplies distributor automated, cross-system insight into orders, inventory, and device fleets, turning weeks of manual analysis into executive-level answers on demand.

Results at a glance

  1. #1Weeks to hours - analyses that once took 3-4 weeks now run in just a few hours, with several running in parallel instead of one at a time
  2. #25+ use cases - put to work immediately, from unifying both product lines in a single query to surfacing expansion opportunities across accounts
  3. #3Faster Q2 decisions - sharper calls on SKU-level pricing and decisive action on large property management (PMC) accounts

The story at a glance

Before. WithMe ran cross-system analysis almost entirely by hand. The financial planning and analysis team wrote every SQL query manually, pulling, transforming, sanitizing, and filling gaps that were hard to surface through manual review. The business operations team exported from multiple systems and stitched everything together in sprawling spreadsheets. Analyses had to be primed a week or more in advance, and any cross-team request meant becoming fluent in Salesforce custom objects or S3.

With Structify. Structify took the time to understand WithMe's business, connecting directly to its live systems to create automated, structured ways to query across databases, map records between them, and eliminate cross-team data dependencies. Recurring reports became scheduled and self-refreshing, one-off analyses that took weeks now run in hours, and data discrepancies are surfaced and fixed immediately rather than requiring manual revision.

Impact. Structify outputs now drive board-level decisions, from repricing SKUs to a consolidated customer health-scoring system that shaped how the go-to-market team acted in Q2. Anyone in the org can gain executive-level insight on demand, the engineering team is freed to focus on core platform work, and new hires can become effective analysts within days.

Who is WithMe

WithMe is a B2B office supplies distributor serving shared living and working environments nationwide. Through its PrintWithMe and SipWithMe lines, it supplies and services the printers, coffee machines, and consumables that properties offer their tenants and residents, partnering with on-site teams through flexible service models and fully managed solutions that combine connected hardware, software, and ongoing support. Its goal is to make those supplies simpler, more reliable, and easier to scale across portfolios.

WithMe is an Inc. 5000 fastest-growing company, appearing on the list for the past five consecutive years, as well as Great Place To Work® Certified™, a two-time Inc. Power Partner, and a three-time NAA Top Employer.

When WithMe first connected with Structify, the company was in a preliminary "discovery phase" for AI tooling. The team's goals for 2026 were ambitious: become a more tech-forward distributor that can launch any new offering, price it out, and customize the service. They wanted trustworthy, cross-system answers fast, without being bottlenecked by engineering cycles or extensive new hiring. What started as approval for a single tool quickly snowballed into broader AI adoption across the team.

What Structify built, and why it matters

Manual, hand-built analysis. Team members ran SQL queries by hand, exported from multiple disparate systems, and manually edited data in shared spreadsheets, a process that took weeks. Structify built structured, automated data access: it connects to WithMe's live systems and creates highly automated ways to query across databases and map records between them, replacing manual pulls, transforms, and spreadsheet stitching.

Cross-team dependency chains. Any request from ops or go-to-market required someone fluent in Salesforce custom objects or S3, so team members without that fluency were blocked on decisions. Structify eliminated cross-team dependencies by establishing mappings that inform any analysis, so employees with the proper controls can get answers directly, without waiting on a specialist or learning another team's systems.

Frustrating data inconsistencies. Gaps were hard to surface through manual review, and catching logging inconsistencies before they skewed analyses took careful checking. Structify surfaced them early through fast iteration, exposing data discrepancies and hidden errors early enough for the team to course-correct fast.

Slow, sequential reporting. One-off analyses ran one at a time over 3-4 weeks, recurring reporting was manual, and inventory forecasting was less reliable. Structify delivered automated, scheduled outputs: recurring dashboards are scheduled and auto-refreshed, one-off analyses run in hours, and multiple analyses run in parallel, turning weeks of sequential work into same-day answers.

Two workflows that now run themselves

Two of WithMe's core recurring workflows are now fully automated. A daily operations dashboard pulls from multiple systems into one scheduled, auto-refreshed view. And an inventory and fulfillment forecasting dashboard, previously a manual process without a single automated data source behind it, is now a scheduled, dependable output the team can plan against.

Just as important, the one-off analyses that used to consume weeks now take hours. Because analyses no longer run one at a time, total output has multiplied.

Structify took weeks of work and condensed it down to just a couple of hours. Now I can have multiple analyses running and iterating in parallel, it's been such a multiplier all around.

The five use cases that first sold leadership

  1. #1Live device counts across both product lines from a single query, previously requiring two separate database exports
  2. #2Vertical growth and win-rate analysis across sub-verticals, including hospitality and multifamily
  3. #3Cross-sell targeting, identifying locations with only a print device or only a Sip coffee machine as high-probability expansion accounts
  4. #4Device health scoring, linking Salesforce support cases to live Athena device data to surface at-risk devices and prioritize proactive service
  5. #5Daily sales visibility, one auto-refreshed dashboard pulling from multiple systems, replacing manual exports and spreadsheet stitching

Adopted across the business

What began as an FP&A and analysis tool has spread into broader AI adoption across the team. Structify unlocks two kinds of work that wouldn't have happened otherwise. First, it makes it possible to take on projects that had been deprioritized because they were too time-intensive to justify. Second, it helps teams uncover issues and data gaps that could have gone unnoticed through manual analysis alone. Because it also reduces the need for deep specialist context, new hires can become productive analysts within days.

We could hire someone tomorrow with limited context on our back-end or Salesforce setup, and after asking a few questions, they can become effective in just a few days with Structify. When you're trying to move quickly, make fast decisions, and build a team that values autonomy and ownership, it's hard to overstate how transformative that is.

Leadership decisions now run on Structify

Beyond automating tasks, Structify has directly shaped board-level decisions at WithMe. The team refined SKU-level pricing using structured back-end input data. And they built a consolidated account-health view across enterprise property management (PMC) accounts that surfaces expansion and densification opportunities, helping strategic reps prioritize where to deepen engagement.

As Dimitar put it: "this kind of work in Q2 has absolutely influenced how our team has moved and made decisions."

Not another dashboard tool

Some of the team was skeptical at first, wary that Structify might be just another visualization tool like Tableau or Power BI. The "aha" moment came when they realized Structify has much more to offer.

The secret sauce is in creating highly automated, structured ways to work across databases, so systems can inform one another, establish mappings that support any analysis, and eliminate nearly all of the cross-team dependency those requests used to require. Structify is so much more than software or a simple BI tool.

Built for distributors like WithMe

Structify works with mid-market businesses in manufacturing, distribution, logistics, and supply chain. These companies typically run on long chains of disconnected systems with fragmented data, few formal contracts, and a high volume of things that can go wrong operationally. For them, hiring a master's-level data scientist is often not viable on price or headcount, and that's exactly the gap Structify fills.

For manufacturing, logistics, and supply chain businesses, the insights Structify provides help uncover hidden revenue, cost cutting, optimization, and expansion opportunities. Structify has been incredibly important to our recent successes as a company.

Structify also gives companies actively transforming into tech-forward organizations a way to move faster without being bottlenecked by engineering. For WithMe, it was one of the flagship wins behind that shift: the team can now launch any new offering, price it out, and customize the service, while the engineering team stays focused on mission-critical platform work.
